This YMCA programme is approved under the Ministry of Social Development (MSD) OSCAR standards. We are committed to providing a safe, supportive, and well-supervised environment for all children in accordance with these standards and relevant legislation including the Children’s Act 2014 and Health and Safety at Work Act 2015.
We follow a planned schedule of engaging, age-appropriate activities. However, circumstances such as weather or health and safety requirements may require changes without notice. While we strive to give prior notice, YMCA is not obliged to offer compensation for changes to the schedule, as variables such as enrolment numbers and operational needs may impact delivery.
Children must be signed in and out of the programme by a parent or authorised caregiver. The YMCA is not responsible for children outside of programme hours or once they have been signed out. If your child will make their own way to or from the programme, a signed Independent Travel Consent Form is required. Only those listed on the enrolment form are permitted to collect your child unless written notice is provided. Children must be collected by 6:00 PM. A late fee of $20 per child for the first 15 minutes, and $1 per minute thereafter, will apply.
YMCA manages risk through our comprehensive OSCAR Policies and Procedures Manual, available to view onsite. This includes our Child Protection Policy, Complaints Procedure, Behaviour Guidelines, and Health and Safety Procedures. Staff are trained in first aid, safeguarding, and risk assessment.
We are not responsible for the loss or damage of children’s personal belongings. Sick or injured children cannot be accommodated—parents or emergency contacts will be called to collect children who are unwell or need medical attention. In serious cases, an ambulance will be called, and parents accept responsibility for any costs incurred.
We are committed to a safe and respectful environment for all. If a child’s behaviour puts themselves or others at risk, YMCA will follow a staged response which may include behaviour agreements, parent meetings, or temporary removal from the programme. In serious or ongoing cases, a child may be excluded in line with our Behaviour Management Policy and MSD guidelines.
If consent is provided at enrolment, YMCA reserves the right to use photographs or video footage of your child for the purpose of promoting YMCA activities (e.g., social media, website, funding applications). These materials will be securely stored and used only for YMCA-related purposes for up to three years.
Please notify your centre or the support office as soon as possible if your child will be absent. The YMCA reserves the right to request a medical certificate in certain situations.

YMCA reserves the right to update fees with 30 days’ notice
Fees are non-refundable. Requests for credit due to extenuating circumstances must be submitted in writing to the Services Business Manager.
YMCA’s financial sustainability depends on prompt payment of fees. You agree to pay for all booked sessions. Access to the programme may be withdrawn if fees fall into arrears. Fees may apply for changes or cancellations as per our Parent Handbook and fee schedules.
YMCA accepts Work & Income OSCAR subsidies. It is your responsibility to apply for this before your child’s programme begins. YMCA will send the provider portion of your form within two working days of your request. If the subsidy is declined or does not cover the full fee, the caregiver is responsible for the outstanding balance, including any cancellation charges in accordance with our booking terms.
All personal information collected will be held in accordance with the Privacy Act 2020. It may be shared with government agencies only where legally required (e.g., Police, MSD, Oranga Tamariki, ACC, Ministry of Justice) and in line with our confidentiality policies.
By signing the enrolment form, you authorise YMCA to manage and disclose information as required, while ensuring your rights are respected under the Privacy Act.
